Position Responsibilities

The Part-Time Police Administrative Assistant will assist EMPD with administrative aspects of law enforcement work (including, but not limited to): • Completing police report data entry, maintaining accurate records management practices, and the importation of data from outside sources • Completing transcription of audio recordings into police report narratives • Completing records requests: Freedom of Information Act (FOIA) public records requests, EMPD Policy 804 compliance, compliance with public records and property duties pursuant Chapter 19 of the Wisconsin Statutes, forwarding reports to outside agencies, and forwarding approved reports to prosecutors (Village Attorney and District Attorney) • Completing parking citation data entry and tracking, including working in the Traffic Violation and Registration Program (TVRP) • Completing Use of Force and Death (UFAD) tracking and monthly reporting to the Department of Justice (DOJ), including filing “zero reports” (if no qualifying incidents took place) • Completing National Incident Based Reporting System (NIBRS) tracking and monthly reporting to the DOJ, including filing “zero reports” (if no qualifying incidents took place) • Completing Search Warrant tracking and monthly reporting to the DOJ, including filing “zero reports” (if no qualifying incidents took place) • Completing pursuit tracking and reporting as required to the DOJ, including filing “zero reports” (if no qualifying incidents took place) • Assist with monthly reporting of EMPD activities to the Elk Mound Village Board • Completing background checks: Adoption / foster records requests, outside agency requests, FBI U21 requests, ATF records inquiries, Village Alcohol Operator License background checks, and Village Transient Merchant background requests, as determined by the Chief of Police • Maintaining supply management: administrative analysis and tracking for equipment (uniforms, tools, forms, etc.), evidence collections items (bags, labels, boxes, etc.), general office supplies (pens, paper, ink, DVDs, etc.), ensure PBT calibration and tracking • Assist the Evidence Custodian: evidence purging, evidence tracking and control, evidence forwarding to the appropriate crime lab, complete an annual evidence audit, act as a safety officer for sensitive evidence, and a “drug take back event” coordinator • Completing Public Relations: able to handle general questions to EMPD, including referrals to local ordinances, state laws, federal laws, or other resources • Assist with scheduling and coordination of EMPD activities based on upcoming events and total calls for service • Completing grants, to include applications, tracking, reporting and closing • Completing Preliminary Breath Testing (PBT) Administration • Completing Facebook / social media management, to include long-range planning for soft news and instant entry for urgent events impacting the community • Completing fingerprinting as needed • Maintains strict confidentiality when handling sensitive information, reports, and photographs; this role includes exposure to sensitive or graphic information related to law enforcement activities • Performs other duties as assigned to support EMPD operations

Additional Education Information
Able to accurately and effectively read, write, and understand the English language. Additional coursework or experience in office administration is preferred.
